Quality Management

Translation is a complex, meticulous and highly professional act of creation. EHOPE Translation adheres to "clients first, quality first, reputation foremost." Every commission is evaluated against the national Specification for Translation Service Quality, the Translators Association of China's evaluation standard for localization translation and DTP quality, and the classic principles of faithfulness, expressiveness and elegance. The company is certified to GB/T19001-2016 and ISO 9001:2015.

How we control quality

  • A strong linguist bench: our translators hold CATTI Level 2 (or equivalent) qualifications or above, with 5+ years of domain-specific experience, 5M+ words translated or 50+ mid-to-large conferences interpreted; the review team combines 10-year veterans with native-speaker experts.
  • Rigorous selection and evaluation: every linguist passes layered screening and testing; the project and review departments evaluate them continuously, and those who miss the quality bar are removed.
  • Dedicated account and project managers: the account manager owns the client relationship and the final service quality; the project manager runs every stage of the workflow, tracks progress, and safeguards quality and deadlines.
  • A disciplined QC process: before translation — source and background research, file conversion, term extraction and corpus management; during — schedule control, synchronous review and feedback, scope-change management; after — full quality checks and revisions based on client feedback.
  • Company-wide quality ownership: a strict responsibility system defines accountability at every step, with real incentives that make the quality policy stick.

Workflow

Translation workflow

  1. Preparation: obtain translation samples or source files (NDA and free test translation available); confirm the production specification (language, document format, industry, volume, target audience, delivery format, reference materials, termbase, delivery date); sign the contract; confirm the project team — account executive (AE), project manager (PM), translators, QC, proofreaders, reviewers, engineers and DTP specialists.
  2. Execution: engineering pre-processing (OCR/text extraction, CAT import, TM pre-translation, termbase lookup); TEP — translation, editing, proofreading — with client feedback and revisions; termbase and TM updates; DTP and layout checks; delivery of the translation and glossary.
  3. Wrap-up: send the quality scorecard and collect client feedback; analyze any disputed items and issue a quality report; archive the project.

Interpreting workflow

  1. Preparation: requirements gathering (date, venue, topic, headcount, languages, interpreting mode, difficulty, equipment needs); quotation and interpreter booking; client confirmation of interpreters (CV review, phone interviews); contract signing; preparation completed one week ahead (contacts on both sides, preparation materials, equipment installation and distribution details).
  2. Execution: before the event — interpreters in place on time, equipment installed, tested and distributed; during — contingencies handled promptly, client feedback gathered proactively; after — equipment teardown and collection.
  3. Wrap-up: remaining business matters closed; internal review with interpreter evaluation.

Technology

Translation Management System (TMS)

EHOPE's self-developed translation management system (TMS) manages every stage of language-service production in a scientific, standardized and process-driven way, integrating client management, quoting, orders, document management, language-asset management, vendor management and finance. Shared data automates the workflow and keeps project data traceable.

  • Workflow management: document management, process automation and team collaboration make translation faster, more efficient and more cost-effective.
  • Memory management: translation memory maintains a database of previously translated segments, accelerating large-volume work and keeping it consistent.
  • Terminology management: the terminology database preserves brand and technical terms, ensuring brand consistency across countries, regions and languages.

Translation technology

  • Computer-aided translation (CAT): TM tools (SDL Trados, MemoQ, etc.), terminology management tools (SDL MultiTerm, crossTerm, TermStar, etc.) and automated QA tools (QA Distiller, ErrorSpy, etc.).
  • Localization engineering: full engineering capability from text to hypertext, from linear to non-linear, and from static to dynamic content.
  • Corpus technology: large-scale corpus storage and retrieval that linguists can query, compare and verify against at any time.
  • Collaborative translation: the proprietary MTC collaboration platform supports multi-translator teamwork and instant multilingual publishing.

Confidentiality

We know how much client materials matter — they can concern market strategy, business development, even the fate of the company. Protecting client materials is part of our commitment. We operate a strict confidentiality system with security accountability assigned to a named owner on every project, and we tailor confidentiality measures and processes to client requirements.

Our commitments

  1. Sign a confidentiality agreement alongside the translation service contract whenever the client requests it.
  2. Never copy or reproduce, in whole or in part, any content the client entrusts to us without written permission.
  3. During translation, no personnel other than those assigned may approach or access files related to the project.
  4. Typists and DTP staff may not privately copy client materials or transmit them over any computer network.
  5. File handoffs in the production process strictly follow company regulations.
  6. No disclosure of the source, type, nature or background of client materials to anyone inside or outside the company.
  7. After delivery, translation drafts and archived computer files are disposed of exactly as the client requires.

Scope of confidential materials: business information contained in client source materials — including manufacturing methods, techniques, processes, data, programs, designs, client lists, sourcing intelligence, marketing plans, contracts and business decisions — as well as any other information the client asks us to protect.

EHOPE Translation is client-oriented: beyond comprehensive, high-quality service, we provide dependable and convenient after-sales support. If you are not satisfied with the quality of a delivered translation, we communicate immediately — our QA department works with you directly to deliver a high-quality, satisfactory revision in the shortest possible time.

  2. Responsive follow-up: after delivery we collect client feedback promptly and adjust and revise the work in time.
  3. Layout and style issues: imprecise terminology, substandard layout or off-brief style are corrected immediately.
  4. Quality fluctuation: if quality slips, we assign the best-suited linguist for the material.
  5. Staff replacement: if a member of our service team is unprofessional or fails to solve your problem, we replace them immediately and apologize.
  6. Pricing concerns: if you feel the price is disproportionate to the quality, we give you a satisfactory answer based on the actual content.
  7. Delivery issues: if a delivered file is inaccurate or an invoice is damaged, you may refuse receipt — please contact our support team right away.
